Membership Committee – Terms of Reference

The mission of the Membership Committee is to recruit new members, retain current members and engage the membership of CNSH.


  •  The Committee Chair shall be appointed by the CNSH Board
  • All members of the Committee shall be members in good standing with CNSH
  • There will be 8 to 10 members of the Committee with the precise number being at the discretion of the Committee Chairperson.

Terms of Office

  • Committee members shall be elected by the CNSH membership and may serve for 2   years.  If elected, a member may serve for a maximum of two consecutive terms.
  • After service of two terms, and following a year of absence, a member may again be nominated for Office.


The Membership Committee is responsible for the following:

  1.  Make recommendations to the Board on activities to promote membership.
  2. Develop membership-building programs.
  3. Develop and oversee the implementation of survey tools such as membership needs assessments and satisfaction surveys.
  4. Promote membership peer recognition which may include the development and implementation of an awards program based on objective selection criteria.
  5. Promote volunteerism and diversity to engage existing members and promote new membership.
  6. Advise and make recommendations to the Board on any issue relating to the provision of services to individual members.
  7. Provide advice to the Board concerning membership needs.
  8. Partner with other committees as appropriate on matters of common interest.
  9. Report to the Board at least quarterly or more often as required on membership committee activities.

Chair of the Membership Committee

  • The Chair shall be responsible for chairing the meetings, ensuring the meetings move forward efficiently, and for quarterly reports on Committee activities to the Board.
  • The Chair shall liaise directly with the Communications Committee on a regular basis to ensure appropriate planning for recruitment strategies and other committees as may be appropriate from time to time.


  • Meetings will be convened on an as needed basis but no less than quarterly.
  • Meetings may be held in person, or electronic means such as telephone, videoconference or by email.


  • Quorum shall be a majority of the membership of the committee.


  • Recommendations and decisions of the Membership Committee, to the extent decisions may be rendered, shall be made by consensus.
  • The Membership Committee shall report to the Board.

Record – Keeping of Decisions

  • The Chair shall ensure that a record of all decisions and recommendations of the Membership Committee is maintained.
  • The Chair may appoint a recording secretary as appropriate.
